Assistant to the Executive Director & COO

Reports To: Operations Manager

Status: Full time; Non-exempt

Position Summary

The Hub Project is a growing nonprofit organization looking for an Assistant to the Executive Director and COO to join our team. You will be responsible for making sure that our leadership is prepared to run our organization every day, that the office trains run on time, and that our teams have the information and support they need to run winning campaigns.

As the Assistant to the Executive Director and COO you will…

  • Work closely with our senior staff to manage their calendars and ensure that they are prepared for their busiest days;
  • Spend time coordinating meetings and events with partner organizations, acting as a representative of The Hub Project and our values;
  • Assist with intra- and inter-department communication, especially as it relates to operations;
  • Attend meetings, take notes, organize and analyze information;
  • Manage, track, and analyze expenses for principals and the operations team;
  • Help plan and manage events, both big and small;
  • Assist the Operations Team in onboarding new staff;
  • Own office management realms like supply management, office atmospherics, technology management, recruitment systems support and more;

About you…

  • You are highly organized and flexible;
  • You have experience reporting to senior managers and managing up;
  • You understand what it means to anticipate needs, look around corners, and you can provide thoughtful advice or suggestions to help the ED and COO manage their time and resources well;
  • You have experience with scheduling, managing logistics, and working in a dynamic environment;
  • You an effective convener and communicator;
  • You are eager to dive in and tackle whatever obstacle crosses your path;
  • You have a penchant for problem-solving and thinking on your feet;
  • You are a comfortable collaborating with a team while taking ownership of your piece of a project;
  • You can balance between quickly responding to requests and questions and working on longer-term projects;
  • You love working with excel and understand the importance of creating and maintaining systems;
  • You know your way around video conferencing software and can troubleshoot basic technological issues with computers, printers, the internet, and more;
  • You have an entrepreneurial spirit and a sense of humor.
